Conference/Location
We invite you to participate in the 2020 State of Alaska Emergency Management Conference (Spring Preparedness Conference) as an exhibitor. This conference is being hosted by the Division of Homeland Security and Emergency Management at the Hilton Anchorage from April 14, 2020 to April 16, 2020.
The goal of this conference is to provide our emergency managers from local jurisdictions valuable training, health, safety, and disaster preparedness information at no cost to them. Representatives from other government, non-government, and local non-profit agencies will be in attendance throughout the week.
Exhibit Hours
Exhibits will be open to the conference daily from 7:00 am to 5:00 pm from April 14-16, 2020. Exhibitors will also have the ability to attend tracks or sessions during the conference if desired.
Display Set-Up/Break-Down
The exhibitor hall will be available for set-up (optional on this date) on April 13th starting at 2:00 pm and ending at 6:00 pm. Exhibits will be open to the conference starting at 7:00 am on April 14th and continuing daily until 5:00 pm. All displays, and equipment must be broken down NLT 5:00 pm on April 16th, but cannot be broken down before 1:30 pm due to other events, and tracks taking place.
In participating, exhibitors agree to indemnify the State and the hotel for any damage or theft caused to any hotel property as a result of drayage related to your event, whether caused by you, your agents, employees, contractors, or agents.
Name Badges
Every exhibitor will be required to have a name badge. If there will be different representatives attending daily for an organization, please include the names of all persons attending the show when final registration opens. Project Manager Michelle Torres will notify all participating vendors closer to the conference when attendee registration opens to finalize all details.
Exhibitor Entitlements
There will be no associated cost for exhibitors to set-up a booth for the duration of the conference. Exhibitors are prohibited from using any displays that do not fit on their table. Exhibitors will be required to use table and seat arrangements provided by hotel. Each booth will be provided a 6’ foot table for displays. All exhibits shall be constructed and arranged so that they do not obstruct the general view or hide other exhibits. Sales and other transactions are prohibited in the facility during the conference.
All exhibits must pertain to emergency management, disaster response or recovery, first responders, disaster planning, homeland security, cyber security, or disaster communication. Space is limited to the first (10) vendors that reply with the below application, and who also meet the criteria listed above. If interested in booth set-up, please fill out the attached registration form and return to Michelle Torres via email at michelle.torres@alaska.gov by 5 pm on December 18, 2019. All vendor applications that are received past the max cut-off will be kept on file for any late cancellations that open an available booth.
